If you inject Botox or dermal fillers, you already know the clinical side. What trips practitioners up is rarely the injection technique — it’s the paper trail. Which lot number went into which patient. Exactly which diluent was used, the reconstitution ratio, and even the needle gauge size. Whether the pre-treatment photos were taken at a consistent angle. Whether precise injection sites and dosages will actually hold up if a college asks to see them tomorrow.
We built this release to exceed college requirements. Facetec’s treatment record now captures the level of detail that provincial dental and medical colleges expect to see — as part of your normal charting flow, not as a separate task you have to remember to do.
A treatment record with the fields colleges actually ask for
For every visit, your patient’s chart now tracks:
- Product, lot number, and expiry — traceable per treatment, not just per patient
- Diluent and dilution ratio
- Needle gauge
- Area-by-area breakdown — units and cost recorded separately for each injection site (frontalis, glabella, TMD left, TMD right, and so on), rolling up automatically into a visit subtotal
- Consultation fees and custom pricing, so the financial record and the clinical record live in the same place
Alongside that, visit notes now support structured, searchable palpation and assessment findings — the kind of detailed clinical notes that back up a treatment plan if it’s ever reviewed.
None of this is busywork for its own sake. Regulatory standards across the country converge on a consistent baseline: a documented treatment plan, informed consent, product type and dosage, specific anatomical injection sites, and a record of any adverse events. Facetec’s treatment record is built to capture that baseline by default, on every visit, without extra data entry.
29-facial angles as before photography, built in
Photography is where most provinces get specific — and where informal documentation tends to fall short. Some colleges require it explicitly as a category distinct from ordinary clinical records; others describe a calibrated standard: consistent lighting, fixed positioning, and multiple angles (frontal, profile, three-quarter) so photos can genuinely be compared before and after treatment.
Facetec includes a dedicated before-photography section built around the Roberts Facial Rejuvenation Photography series protocol — a 29-photo standardized sequence developed by Drs. Warren & Jan Roberts of Vancouver, BC. Instead of a handful of ad hoc smartphone shots, practitioners capture a complete, repeatable set of angles for every patient, stored directly against that visit.
Injection site photos, stored where they belong
Facetec also includes a dedicated section to store marked injection site photos — a visual record of exactly where product was placed, alongside the units and dosage logged in the treatment table. It’s the kind of documentation several colleges call for by name, and it’s now just part of charting a visit rather than something practitioners have to track separately.
Why this matters beyond the chart
Taken together, these fields are designed to hold up under the kind of scrutiny provincial colleges apply to injectable practices: product traceability, site-specific dosing, standardized photography, and detailed notes, all attached to the visit they belong to and available the moment a college asks for them.
That last part matters as much as the fields themselves. Several colleges reserve the right to audit records at any time, and a few conduct random audits explicitly. The practitioners who feel confident about that aren’t the ones with the best filing system — they’re the ones whose everyday charting already produces a complete record, so there’s nothing to reconstruct.
That’s the goal with this update: when your documentation workflow is built to capture what colleges require, in a format they’d recognize, compliance stops being a separate obligation layered on top of your practice — it’s just how you chart.
